Privacy Policy
Last updated: October 21, 2026
1. Scope
R3 Integrated Health Plus LLC, a Florida limited liability company doing business as BodyGuard Health Systems (collectively, "BodyGuard," "we," "us," or "our"), operates bodyguardhealthsystems.com and related webpages, landing pages, forms, scheduling tools, chat and voice assistants, email and text-message communications, and business services that link to this Privacy Policy (collectively, the "Services"). This policy explains what personal information we collect, how we use and disclose it, and the choices available to you.
This policy applies to website visitors, business contacts, prospective clients, customers, authorized users, referral contacts, and others who communicate with us. It does not replace the privacy notice of a healthcare practice, law firm, or other client that independently determines how it collects and uses information.
BodyGuard provides business technology and support services. This website privacy policy is not a HIPAA Notice of Privacy Practices for any healthcare provider.
2. Information we process on behalf of our clients
Our clients (for example, medical practices and law firms) use the Services to communicate with their own patients, prospective clients, and contacts — for example through website chat, phone answering, appointment scheduling, reminders, follow-ups, and review requests. When we process information about those individuals ("End Users"), we do so as a service provider on behalf of, and under the instructions of, our client. The client's own privacy notice governs that information. End Users should direct privacy questions and requests to the client, and we will assist the client as required by our agreement and applicable law. We do not use End User information for our own marketing.
3. Information we collect
- Contact and professional information. Name, business email address, business or mobile telephone number, organization, job title, location, and similar details.
- Inquiry and scheduling information. Information you provide when requesting an audit, demonstration, consultation, proposal, support, or appointment.
- Customer and service information. Account details, service selections, configuration information, communications, documents, and records needed to deliver and support our services.
- Billing information. Plan purchased, invoices, and payment status. Card and bank payments are processed by our payment processor; we do not store full card numbers.
- Communications and consent records. Emails, call or message history, call recordings and transcripts, form submissions, marketing preferences, opt-in records, opt-out requests, and other communications.
- Website and device information. IP address, browser and device type, operating system, pages viewed, referring page, date and time of visits, approximate location, cookie identifiers, and similar usage information.
- Other information you provide. Please do not submit patient information or protected health information through general website forms, chat, phone messages, or ordinary text messages.
4. Where information comes from
Directly from you; automatically through cookies, pixels, and logs; from organizations and business contacts (your employer, a client, a referral source, a business partner); and from public and commercial sources such as business websites, listings, directories, and business contact data providers, where permitted by law.
5. How we use information
To respond to inquiries and prepare audits, demonstrations, and proposals; to provide, operate, and support the Services; to send service and (where permitted) marketing communications consistent with your choices; to improve operations and measure performance; to protect against fraud, abuse, and security incidents; and to meet legal obligations and enforce agreements.
6. Email and text-message communications
Email. We may send service-related emails and, where permitted by law, business or marketing emails. Unsubscribe via the link in any message or by contacting us. Transactional and service messages may continue after opt-out.
SMS. If you affirmatively opt in, we may send messages related to your request, appointment, service, or account as described at the point of consent. Message frequency varies. Message and data rates may apply. Consent to receive marketing texts is not a condition of purchase. Reply STOP to opt out, HELP for help. We honor opt-outs as required by law and may send one final confirmation message. Carriers are not liable for delayed or undelivered messages.
We do not sell, rent, or share mobile telephone numbers or SMS opt-in data with third parties or affiliates for their own marketing. We may disclose this information to service providers that help us deliver messages, maintain consent records, provide support, or secure our systems, subject to appropriate use restrictions.
7. Automated assistants and call recording
Our chat and phone lines may be answered by automated (AI) assistants that identify themselves as automated, answer general questions, collect contact details, and help schedule appointments. They do not provide medical, legal, billing, or tax advice. Calls with BodyGuard may be recorded and transcribed for quality, training, and record-keeping; we disclose this at the start of the call. If you do not want the call recorded, end the call and contact us by email instead.
8. Cookies and similar technologies
We may use cookies, pixels, local storage, and similar technologies for essential functions, preferences, analytics, and (if enabled) advertising measurement. You can control many cookies through your browser settings; blocking some may affect functionality.
9. How we disclose information
To service providers (hosting, CRM, communications, AI assistants, payments, scheduling, analytics, security) bound to use information only for our services; to professional advisers as reasonably necessary; for legal and safety purposes including compliance with law and enforcement of agreements; in connection with a business transaction subject to safeguards; and at your direction or when reasonably necessary to provide a requested service.
We do not sell personal information for money. Some analytics or advertising technologies, if enabled, may involve disclosures that certain U.S. state privacy laws define as "sharing," "sale," or "targeted advertising" even without money changing hands; where applicable we provide required notice and opt-out methods.
10. Data retention
We retain personal information only as long as reasonably necessary for the purposes above, including service delivery, consent records, legal compliance, dispute resolution, and security. Client end-user information is retained, returned, or deleted per our agreement with that client. We may retain de-identified or aggregated information where permitted by law.
11. Security
We use reasonable administrative, technical, and physical safeguards appropriate to the nature of the information. No method of transmission or storage is completely secure.
12. Your privacy choices and rights
Update communication preferences, unsubscribe, or text STOP as described above. Depending on where you live, you may have the right to request access to, correction or deletion of, or a copy of your personal information, to opt out of certain uses, or to appeal a decision. We will not discriminate against you for exercising a legal right. Submit requests to [email protected]; we may need to verify your identity. Requests about client end-user information may be referred to that client.
13. Healthcare information and HIPAA
Do not include patient information or protected health information in general forms, chat, messages, email, or standard texts unless directed to an approved secure method. When BodyGuard processes protected health information for a healthcare client under a signed Business Associate Agreement, that processing is governed by the agreement, the client's instructions, and HIPAA where applicable. The client remains responsible for its own Notice of Privacy Practices.
14. Third-party websites and services
Linked or integrated third-party sites and services are governed by their own notices.
15. Children's privacy
The Services are for business audiences and are not directed to children under 13.
16. Changes to this policy
We may update this policy by posting a revised version with a new "Last updated" date, with additional notice or consent where the law requires.
